Before you list

What sponsors will ask for

Have these ready and your listing gets approved faster, and sponsors say yes faster.

  • Honest attendance numbers and how you counted them: ticket scans, registrations or gate counts. Estimates are fine if you label them.
  • Audience basics: age range, local vs. visitors, anything distinctive (runners, car owners, families).
  • Photos from past events, especially of existing sponsor signage.
  • A certificate of insurance. Many sponsors will ask to be named as additional insured on your event liability policy.
  • A W-9 (US organizers), so sponsors can process payment. Standfield collects it once for every deal.
  • Music licensing for concerts and events with music. Performing-rights licenses (ASCAP, BMI and others) usually fall to the event organizer.
